Position Overview

We are seeking a highly organized and skilled Senior Coordinator to manage logistics, facilities, and operational functions. This role involves overseeing the management of facilities at our primary practice, coordinating maintenance and compliance across the organization, and providing project assistance for new facility initiatives currently underway.

Reporting Structure

This position reports directly to the Group Manager of IT Digital & Estates and is an integral part of the Mereside Medical Operations Team. This essential team collaborates across all practices to implement effective systems, tools, and processes that foster an optimal work environment for our staff.

Key Responsibilities

Support for Facility Projects (30-50%)

  • Facilitate the bi-monthly Mereside Premises meeting cycle: organize agendas, prepare and maintain necessary documentation, and record decisions and action items.
  • Provide coordination for projects, including budget oversight, and lead the facilities components of improvement initiatives, from initial business case development to project completion.
  • Oversee the creation and submission of business cases for enhancements to existing facilities.
  • Explore opportunities to enhance the sustainability of our buildings.

Management and Coordination of Facilities

At designated sites, the responsibilities include:

  • Supervising daily maintenance operations of the facilities.
  • Ensuring that all premises are maintained in a clean, orderly, and well-repaired condition.
  • Conducting regular inspections to identify maintenance needs.
  • Managing cleaning personnel at each location.
  • Overseeing all inspections of buildings and equipment, ensuring timely completion of necessary actions.
  • Coordinating ad hoc waste removal as needed.
  • Monitoring the Facilities Support helpdesk and responding appropriately.
  • Preparing cost estimates for repair and maintenance projects for approval.
  • Managing improvement projects while considering service delivery requirements.
  • Ensuring the security of facilities, including oversight of surveillance systems.
  • Acting as the primary contact for landlords.
  • Serving as a secondary keyholder in collaboration with security providers.

General Responsibilities Across All Practices

  • Ensure that all service contracts are effective, maintained, and provide value.
  • Maintain comprehensive documentation, including handbooks, policies, risk assessments, and service contracts.
  • Compile a list of maintenance tasks for the Maintenance Worker, prioritizing and ensuring timely completion within budget.
  • Collaborate with Practice Operations Managers to ensure compliance with relevant legislation and standards.
  • Act as the lead for health and safety, electrical safety, and fire safety initiatives.
  • Provide support for facilities improvement projects as needed.
  • Serve as a keyholder for other practices as required.
