Position Overview

We are seeking a skilled Office Coordinator to become a vital part of our Wheelchair Service Administration team. This role offers a diverse and engaging work environment within our specialized Wheelchair Centre.

Candidates should possess a minimum of GCSE qualifications in relevant subjects, along with strong typing and document processing abilities. Exceptional organizational, communication, and interpersonal skills are essential, as is the capacity to perform effectively under pressure.

Key Responsibilities

  • Provide thorough administrative, IT, and clerical assistance to all personnel within the Wheelchair Service.
  • Collaborate flexibly within a team, offering support to colleagues and the multidisciplinary team, and cover for other administrative roles as needed.
  • Ensure a user-friendly and accessible service for clients.
  • Handle reception and telephone inquiries with professionalism and efficiency.

Job Duties

  • Manage incoming phone calls.
  • Process and respond to email inquiries.
  • Record referrals and prescriptions in our electronic systems.
  • Coordinate the delivery and handover of wheelchairs.
  • Document issued equipment in our electronic systems.
  • Scan and photocopy documents as required.
  • Schedule appointments and perform reception duties when necessary.
  • Assist with data collection efforts.
  • Support the broader service team and our clients.

Qualifications and Experience

Required

  • GCSE or equivalent qualifications in Mathematics and English.
  • Proficiency in computer skills equivalent to ECDL.

Experience and Knowledge

Required

  • Experience in a customer service setting.

Preferred

  • Familiarity with database systems and web-based applications.
