Job Description

Position Overview:

The Real Estate Administrator is responsible for providing efficient and organized support to the International Real Estate team, focusing on three key areas: Finance & Accounts, Project Work, and Administration Support.

This role requires a strong ability to prioritize workloads, manage multiple tasks, and maintain accurate records in a fast-paced environment.

Key Responsibilities:

Finance & Accounts
  • Manage international rent schedules, tracking and updating records on a weekly basis.
  • Liaise with external vendors to resolve late and direct debit invoices.
  • Serve as the primary point of contact for finance team inquiries, PO increases, and project-related budgets.
  • Raise purchase orders for all projects, rents, and services for the Intl Real Estate team.
  • Set up new suppliers on the Coupa system.
  • Report any issues to the Real Estate Senior Coordinator on a daily basis to ensure timely resolution.
  • Update Real Estate spreadsheets on a daily basis.
  • Develop Excel spreadsheets with formulas to streamline the Real Estate team's rent processes.
Project Work
  • Support the International Real Estate Coordinator in creating communications, such as articles, posts, and presentations, for the Vertex internal intranet page.
  • Administer the Critical Date tool, managing and tracking critical lease dates across the Vertex international portfolio.
Administration Support
  • Organize weekly team meetings, including requesting and circulating agendas, scheduling meetings, and setting up meeting rooms.
  • Create project slides and provide support for all projects and business cases.
  • Provide day-to-day project support and track budgets, including PPM updates.
  • Offer additional administration support to the US Real Estate team as needed.
