Job Title: Site Administrator

At Elysium Healthcare, we are seeking a highly organized and detail-oriented Site Administrator to join our team. As a key member of our site operations, you will be responsible for ensuring the smooth day-to-day running of our site.

Key Responsibilities:
  • Organize and record all site meetings, ensuring accurate minutes and action items are documented.
  • Liaise with Operational HR and Head Office staff to ensure compliance with HR policies and procedures.
  • Maintain and create personnel files, adhering to CQC standards.
  • Support the Senior Management team in HR-related matters, including note-taking and information requests.
  • Monitor and verify staff professional registrations on a monthly basis.
  • Process monthly DBS renewals and right-to-work checks for existing staff.
  • Process payroll and HR system updates.
  • Liaise with Central Recruitment regarding employment offers and candidate progression.
  • Manage systems for service user monies and petty cash.
  • Reconcile the site company credit card.
  • Process purchase orders and deal with supplier queries.
  • Ensure accurate documentation and filing.
  • Order stationery and maintain site stock levels.
  • Update the Elysium Learning Management System (MEL) as required.
  • Support induction and refresher training programs, liaising with the training hub.
  • Contribute to improvement measures for training compliance.
  • Print nursing paperwork and ensure the nursing team has necessary materials.
  • Support the nursing team in updating site information.
  • Answer telephone calls and direct queries to relevant staff members.
Requirements:
  • At least 2 years' experience in secretarial and/or administration in a healthcare setting.
  • ECDL, RSA II, Typing/Word Processing, or equivalent.
  • 4 GCSEs at grade C or above (including English and Mathematics) or equivalent.
  • Experience in minute-taking and proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • Knowledge of HR and Finance systems.
  • Experience handling money.
