The ideal candidate will collaborate with the team dedicated to the effective implementation of the Newborn Hearing and Newborn Bloodspot Screening Programs. This role entails providing crucial administrative assistance to guarantee the smooth functioning of the failsafe operations for both programs.

This position is dynamic and diverse, necessitating the capability to manage a variety of stakeholders, responsibilities, and timelines. The candidate must be adept at organizing, prioritizing, and planning their workload to meet objectives. Team collaboration is essential, along with exceptional communication skills and a keen attention to detail when entering participant data.

The ability to communicate in Welsh is preferred for this position.

Main Responsibilities

The role involves delivering high-level administrative support to the Newborn Screening region. This includes managing screening pathway administration and providing failsafe support for both the Newborn Hearing Screening Wales (NBHSW) and Newborn Bloodspot Screening Wales (NBSW) programs. Additionally, the post holder will be expected to offer secretarial and general administrative assistance to regional management teams.

The successful candidate will be responsible for operating information systems to accurately manage invitations, appointments, and results in accordance with program policies and procedures. The post holder will also participate in validation processing to ensure that newborns are appropriately managed.

Key Duties and Responsibilities

Newborn Hearing Screening Wales (NBHSW)

  • Provide comprehensive administrative and secretarial support to the local management team.
  • Utilize administration and IT systems to facilitate the screening process within healthcare settings.
  • Conduct daily manual registrations and updates on the All Wales Newborn Hearing Screening system, addressing queries in collaboration with Child Health Departments.
  • Serve as the primary contact for parents reaching out to the service, offering appropriate guidance and handling general inquiries.
  • Coordinate with local audiology departments regarding referrals, ensuring all follow-up information is accurately documented.
  • Engage with midwives, health visitors, and other screening units across Wales and England to gather screening information.
  • Ensure all tests are organized for newborns and maintain precise records to prevent any loss to follow-up.
  • Manage stock control for screening supplies and general office materials, ensuring adequate inventory levels.
  • Perform key failsafe checks and input incident information into the relevant systems.
  • Conduct filing and other administrative tasks as required.

Newborn Bloodspot Wales (NBSW)

  • Ensure daily updates of new births in the NBSW system.
  • Process and update failsafe reports.
  • Coordinate local information to guarantee all tests are scheduled for newborns and maintain accurate records.
  • Communicate with Health Visitors, Midwives, and laboratories to resolve reporting exceptions.
  • Generate result reports from the clinical information system.
  • Distribute normal results to parents, Health Visitors, and GPs.
  • Request repeat samples from relevant healthcare providers.
  • Provide cross-cover on an all-Wales basis as needed.
  • Order and distribute test materials and maintain sample taker registrations.
  • Conduct filing and input incident information as necessary.
