Position Overview

We are seeking a dedicated ward administrator to become a part of our team on C4, the Respiratory ward at Aneurin Bevan University Health Board.

The ideal candidate will exhibit outstanding organizational abilities and demonstrate flexibility and adaptability in their work approach.

It is essential to work independently, exercise tact and diplomacy when necessary, and possess excellent communication skills while adhering to all confidentiality and information governance standards.

Familiarity with hospital systems is advantageous, although comprehensive training will be provided to the selected candidate.

This role is a fixed-term position for 6 months to fulfill the service requirements. Candidates interested in this position must secure approval from their current line manager before applying.

Interviews for successful candidates will be conducted shortly after the closing date for this position.

Key Responsibilities

The responsibilities include but are not limited to:

  • Serving as a liaison between the ward and community services, distributing discharge summaries to general practitioners, relaying messages, and welcoming patients and their families to the ward.
  • Performing general office duties such as directing queries, complaints, and other communications from patients, relatives, or visitors to the Ward Manager or Nurse in Charge.
  • Maintaining accurate patient records and ensuring a sufficient supply of patient name labels.
  • Inputting patient information, including admissions and discharges, into the Epex Work Station.
  • Filing relevant patient information into patient notes after obtaining the necessary signatures from medical staff.
  • Keeping ward record books updated.
  • Coordinating outpatient appointments as directed by the Nurse in Charge.
  • Answering telephone inquiries and providing non-clinical information as instructed by the Nurse in Charge.
  • Ensuring the proper completion and transmission of works and estates orders.
  • Maintaining ward statistics as required.
  • Performing photocopying and faxing tasks as needed.
  • Typing letters and other documents as requested by the Nurse in Charge or Ward Manager.
  • Ensuring the ward is adequately stocked with necessary stationery supplies.

Proficiency in Welsh is desirable for this position; applications from both English and Welsh speakers are welcome.
