Interpersonnel UK Limited, a prominent player in the publishing sector, is currently in search of an Event Coordinator to manage various events and exhibitions with the assistance of the Events Director/Events Manager. This role offers a dynamic and engaging opportunity to work on a diverse range of events, including potential travel across Europe. The successful candidate will join a compact team of four and should be open to traveling to a secondary location once or twice weekly, along with regular trips to major cities for event support.

Key Responsibilities

  1. Collaborate with relevant team members to finalize all logistical requirements for events at the outset.
  2. Compile and distribute all entries to the appropriate stakeholders.
  3. Execute all agreed-upon logistics for events, maintaining close communication with necessary personnel.
  4. Attend all essential event days, ensuring coverage of responsibilities and managing team members as needed.
  5. Communicate with finalists to confirm their details and collect necessary images.
  6. Draft event scripts and obtain final approval from relevant authorities.
  7. Coordinate with venues for all event-related needs.
  8. Facilitate host communications when necessary.
  9. Efficiently manage inquiries from companies participating in the events, ensuring timely correspondence.
  10. Oversee the guest list system, ensuring regular follow-ups with table hosts to achieve a comprehensive guest list.
  11. Ensure all materials are prepared and delivered to the venue on the event day, including appropriate setup.
  12. Send reminders to attendees regarding dietary preferences through regular communications.
  13. Work with relevant personnel to establish seating arrangements for events.
  14. Accurately allocate sponsors, finalists, and attendees as required.
  15. Arrange for photography services as needed.
  16. Prepare initial drafts of event scripts, including details of sponsors and award recipients, for approval.
  17. Coordinate with trophy suppliers, ensuring timely delivery and approval of designs.
  18. Ensure all guests receive their tickets and event details promptly.
  19. Assist in the setup and dismantling of events.
  20. Ensure all materials are ready and delivered on schedule.
  21. Handle general inquiries, ensuring clear and accurate communication.
  22. Manage supplier relationships as assigned.
  23. Provide support during the absence of other team members.
  24. Handle mail on designated days.

Required Skills and Experience

  • Proficient typing skills and familiarity with various computer systems, including Word and Excel.
  • Confident and professional telephone communication skills.
  • Strong organizational abilities are essential.
  • Experience in event management is preferred.
  • Effective communication skills across multiple channels.
