We are seeking a highly organized and detail-oriented Project Administrator to join our team at Proeon. As a key member of our team, you will be responsible for ensuring the smooth operation of our projects, from document control to logistics and quality control.

Key Responsibilities:

  • Project Document Control: Lead the control of all project documents, including client, internal, and supplier documents, and maintain accurate status reports and documentation.
  • Cost Management: Prepare and monitor Cost To Completes (CTC) for engineer completion, including tracking consumables, project invoicing, and original budgeted allowances.
  • Logistics and Supply Chain Management: Support import/export shipping, liaise with transport companies, and ensure timely delivery of goods.
  • Quality Control and Assurance: Assist with equipment returns, generate delivery notes, and record shipments to ensure compliance with quality standards.
  • Travel and Expense Management: Handle travel bookings, flights, hotels, and liaise with travel companies to ensure seamless travel arrangements.
  • Project Support: Provide general support to project managers and engineers as needed to ensure project delivery, including attending internal meetings and project close-out meetings.
  • Financial Reporting: Interact with company financial staff to provide project account data and ensure accurate year-end figures.
  • Compliance and Governance: Ensure full compliance with the Company's QA standards in all relevant reporting, documentation, record keeping, and procedures.

Requirements:

  • Commercial Awareness: Strong understanding of commercial principles and practices.
  • Technical Skills: Proficient in Microsoft Office, particularly Word and Excel, and experience with Sage 50.
  • Personal Qualities: Keen, reliable, committed, self-motivated, driven, organized, diligent, and attention to detail.
  • Problem-Solving: Able to work independently to assess, manage, and resolve problems and issues.
  • Continuous Learning: Willingness to learn and adapt to new situations, with an inquisitive and challenging mindset.
  • Time Management: Strong time management and delivery performance skills.
  • Adaptability: Ability to adapt to internal and external customers and changing priorities.
