Senior Office Specialist

About the Role
We are seeking a highly organized and detail-oriented Senior Office Specialist to provide administrative support to our Senior Management team and other staff members. The successful candidate will be responsible for managing office requirements, coordinating meetings, and ensuring seamless execution of travel plans.
Key Responsibilities
- Meeting Coordination:
- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Liaise with internal and external stakeholders to ensure smooth communication and collaboration.
- Ensure rooms/venues are set up with all necessary equipment and supplies.
- Travel Management:
- Arrange high-volume and highly detailed travel plans, including flights, hotels, transportation, and visa requirements.
- Prepare and process expense reports and other financial documentation related to travel.
- Office Management:
- Receive, register, and prepare correspondence.
- Manage office supply inventory.
- Coordinate the overall functioning of the office, including cleaning and organization.
- Confidentiality and Discretion:
- Handle sensitive and confidential information with the utmost discretion.
- Ensure compliance with company policies and procedures.
- Miscellaneous:
- Perform other duties as assigned by the corporate affairs team.
- Act as a liaison between the executive and other staff members.
Requirements
- Education:
- Bachelor's degree in Business Administration, Communications, or a related field preferred.
- Experience:
- Demonstrable experience in a similar administrative role.
- Experience supporting Senior Management is a plus.
- Skills and Abilities:
- English proficiency.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Creativity in finding solutions as part of a team.
- Ability to organize multi-party events.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Ability to multitask and prioritize tasks in a fast-paced environment.
- High level of professionalism and attention to detail.
- Ability to work independently and as part of a team.
