Position Overview

We are seeking an individual with a solid background in administrative and clerical functions to provide support to our Clinical Leads and members of the Multi-Disciplinary Team (MDT). This role involves offering personal assistant services to our Clinical Lead Consultant Psychiatrist and our Modern Matron. The ideal candidate will possess exceptional interpersonal and communication skills, both written and verbal, and will demonstrate a systematic and adaptable approach to managing workloads effectively while maintaining a professional and customer-oriented demeanor. Proficiency in keyboard skills and advanced knowledge of Microsoft Office applications, including Word, Outlook, and Excel, is essential.

Key Responsibilities

- Deliver a comprehensive personal assistant, medical secretarial, and administrative service to the Consultant Psychiatrist and Modern Matron, as well as other MDT members as necessary.

- Assist the Consultant Psychiatrist and Modern Matron in all aspects of business management activities related to their functions and responsibilities, including the establishment and management of an efficient personal assistant support service.

Qualifications

Essential

  • NVQ Level 4 or Higher Education Certificate/BTEC or equivalent experience
  • High level of knowledge equivalent to Senior Secretarial Certificate/Diploma or equivalent practical experience.
  • English and Maths GCSE or equivalent
  • Evidence of continuous professional development, particularly in organizational systems, staff supervision, and business administration.
  • Valid driving license with access to a personal vehicle

Experience

Essential

  • Extensive experience in a personal assistant/secretarial role
  • Competent audio typist
  • Advanced IT skills, including proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, and Publisher)
  • Experience in organizing meetings, compiling reports, and taking minutes
  • Ability to type accurately with strong spelling, punctuation, and grammar skills
  • Experience working collaboratively within a team with shared cover arrangements
  • Ability to work independently without direct supervision
  • Experience in high-pressure environments with strict deadlines
  • Experience in a busy office setting with frequent interruptions while meeting deadlines
