Service Operations SpecialistWe are seeking a highly organized and detail-oriented Service Operations Specialist to join our dynamic team. In this role, you will play a vital part in ensuring the smooth and efficient operation of our service department.
Responsibilities:- Manage work orders to ensure timely completion and accurate documentation.
- Process job sheets meticulously, verifying all details from initiation to invoicing.
- Accurately track parts usage and process goods receipting procedures.
- Process engineer time sheets to maintain accurate payroll records and work in progress tracking.
- Handle annual tank test sheets and reports with precision.
- Raise and follow up on purchase orders as required, ensuring timely procurement of materials.
- Review and process credits within authorized limits, resolving customer inquiries efficiently.
- Secure purchase order numbers from customers promptly.
- Collate, amend, and verify warranty documentation for seamless claim submission.
- Maintain the accuracy and up-to-date status of all relevant portals, databases, and registers.
- Provide support to the Workshop Coordinator by assisting with vehicle check-in, bookings, and scheduling.
- Manage service department document filing, ensuring both digital and hard copies are organized and accessible.
- Perform other duties as assigned by the line manager.
- Excellent communication skills, both written and verbal, with the ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite applications.
- Strong organizational and process management skills.
- A positive attitude and a commitment to continuous improvement.
- Previous experience in a customer service role is advantageous.
- Meticulous attention to detail and the ability to prioritize tasks effectively.
