We are seeking a highly organized and detail-oriented Service Administrator to join our team at Hunt Forest Group Ltd. in Dorchester, Dorset.

As a Service Administrator, you will be responsible for administering service processes to maximize administrative efficiency in the department. This includes maintaining accurate and on-time reports and records, coordinating enrolment and follow-up of training attendance, and processing warranty and/or product improvement claims.

You will also be responsible for planning and allocating work for technicians based on their expertise and skills, generating business by communicating the latest service campaigns to relevant customers, and taking customer payment for cash sale work upon completion.

Key responsibilities include:

  • Checking work orders before submission to the Service Manager and end customers
  • Maintaining service department filing, records, and department information
  • Opening work orders as directed by the Service Manager and maintaining control until they are closed and invoiced
  • Coordinating enrolment and follow-up of training attendance as directed
  • Processing warranty and/or product improvement claims, including computation of charges, submission, and follow-up
  • Getting in touch with customers to collect required data, checking machine status, and planning and allocating work for technicians
  • Generating business by communicating the latest service campaigns to relevant customers
  • Taking customer payment for cash sale work upon completion
  • Working towards performance KPIs and targets to support departmental efficiency
  • Proactively contacting customers based on machine alerts
  • Running administration steps of the service process, such as invoicing, customer approval, and signature
  • Contacting customers to inform about changes in service or to let them know the machine is ready for pick-up
  • Providing explanation and answers to customers on service delivered after consulting with technicians and the workshop manager if necessary
  • After-repair follow-up with customers to identify open issues and confirm customer satisfaction

Requirements

We are looking for a candidate with:

  • Previous experience within a busy Service Department in either the Agricultural, commercial vehicle, or similar industry (desirable)
  • Previous administration experience
  • Competent in using Microsoft Office, including Excel
  • Strong organizational skills
  • Ability to work from their own initiative
  • Keen to learn and a good communicator
