Position Overview

We are looking for a dedicated and detail-oriented Project Coordination Specialist to become a part of the Project Division within the Workforce Solutions team at the Royal Devon and Exeter NHS Foundation Trust. The Workforce Solutions team is responsible for managing Workforce Systems & Data Initiatives, Intelligence, and System Support within the broader digital services for personnel.

The successful candidate will:

  • Collaborate closely with the Project Manager and Senior Project Manager of the Workforce Solutions team, as well as colleagues from various departments such as Digital and People, to ensure the delivery of high-quality project outcomes within established timelines and scopes.
  • Provide essential administrative assistance and coordination to the Project Manager and Senior Project Manager, including organizing and documenting meetings, engaging with stakeholders, and maintaining comprehensive project records.
  • Exhibit exceptional organizational and communication abilities to support the Project Division, fostering and sustaining productive relationships with the Workforce Solutions team and a diverse group of stakeholders.

As an integral member of the Project Division, you will significantly contribute to the successful execution of Workforce Solutions initiatives. The role will involve:

  • Project Coordination: Aid in the planning, organization, and implementation of various Workforce Solutions system, data, and HR initiatives, ensuring that deadlines and deliverables are consistently met.
  • Administrative Assistance: Deliver thorough administrative support, including scheduling meetings, preparing necessary documentation, and maintaining project records, as well as organizing activities for the Senior Leadership Team such as on-call duties and training sessions.
  • Data Oversight: Support the collection, analysis, and reporting of project data to facilitate informed decision-making and monitor progress.
  • Communication Facilitation: Serve as a primary contact for project-related inquiries, ensuring effective and clear communication among project team members, subject matter experts, stakeholders, and external partners.
  • Resource Coordination: Assist in managing project resources, including tracking staff availability, identifying potential delays, and coordinating with stakeholders.
  • Documentation Management: Create and maintain detailed project documentation, including project plans, meeting agendas and minutes, action trackers, and risk assessments.
  • Continuous Development: Contribute to the ongoing enhancement of project processes and methodologies, ensuring adherence to best practices.
  • Coverage Support: Occasionally provide business continuity for projects and assist in an escalation framework to mitigate risks to project quality and success.

Qualifications and Skills

  • Demonstrated experience in a project support or administrative capacity is advantageous but not mandatory; we welcome candidates with the right mindset and eagerness to learn – we will equip you with the skills necessary to excel in our team.
  • Strong organizational skills with the capability to manage multiple tasks and priorities effectively.
  • Excellent communication and interpersonal skills, with the ability to engage effectively with a diverse range of stakeholders, including clinical colleagues, senior managers, and directors.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and project management documentation.
  • Familiarity with data management and analysis tools is preferred.
  • A proactive and adaptable work approach, with a keen attention to detail and problem-solving skills.
  • Experience in digital services or HR systems projects is beneficial but not essential – if you possess the right attitude, attention to detail, and a desire to learn, we would be eager to hear from you.

Work Schedule: Full-time, Monday to Friday.
