We are thrilled to present an opportunity for a Client Support Administration Specialist to join our esteemed team. In this role, you will provide vital support to our client delivery Consultants, ensuring seamless daily operations and effective communication. This position offers a balanced work-life arrangement with the flexibility of remote work.
Key Responsibilities:
- Coordinate consultant schedules, arranging meetings and necessary logistics.
- Manage incoming and outgoing correspondence, ensuring timely acknowledgment and forwarding of all communications.
- Assist consultants in meeting preparations, including drafting agendas, gathering documents, and distributing meeting materials.
- Prepare templates for meeting minutes and update action items post-meeting.
- Execute quarterly tasks in advance of scheduled meetings.
- Process invoices and oversee annual budget tracking.
- Set up meetings and upload relevant documents to online platforms.
- Communicate with providers to ensure timely receipt of all required documentation.
- Support consultants in the completion of internal reporting requirements.
- Monitor communications from providers and pension organizations.
- Answer incoming calls and provide assistance to callers in the consultant's absence.
- Perform general office administrative duties, including filing and managing postal tasks.
- Maintain precise client time records using our proprietary time-tracking system.
- Collaborate effectively with team members, embodying the values of our organization.
Qualifications and Skills:
- Prior experience in administrative support or secretarial roles.
- Basic understanding of pensions is advantageous but not mandatory, as training will be provided.
- Proficient in Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint.
- Strong written and verbal communication skills.
- Exceptional organizational and interpersonal abilities.
- Professional demeanor and responsible approach to client interactions.
- Enthusiastic and self-motivated, with a strong initiative.
- A collaborative team player who thrives in a close-knit environment.
- Advanced Excel skills are essential; experience with invoicing is a significant plus.
Additional Requirements:
- GCSE English and Maths Grade C or above (or equivalent).
- Intermediate to advanced proficiency in Microsoft Office, particularly Excel and Word.
- Familiarity with PowerPoint and Visio software is beneficial.
