Job Summary:

The Workforce Operations Administrator will play a crucial role in supporting the Director of Workforce in managing the day-to-day operations of the workforce team. This includes coordinating travel reconciliations, reviewing and enhancing operational processes, and developing service standards.

Key Responsibilities:

  • Process Management: Collaborate with the Travel and Finance departments to manage the weekly travel reconciliation process.
  • Operational Excellence: Review and enhance current operational processes and procedures to ensure efficiency and effectiveness.
  • Service Standards: Regularly review and develop current and future service standards across the operational departments.
  • Reporting and Data Management: Support heads of departments in reporting individual and team KPIs across the workforce team, and ensure data accuracy and accessibility for relevant stakeholders.
  • Communication: Handle inbound and outbound communication from the clinical workforce via platforms like AirCall and Zendesk.
  • Administrative Support: Support the Director of Workforce through scheduling meetings, taking minutes, and project coordination.
  • Team Collaboration: Collaborate with colleagues across the Workforce department, sharing best practices and innovative ideas.
  • Organizational Ambassador: Act as an ambassador for the organization where appropriate.

Requirements:

  • Experience: Proven administrative/operational experience, skilled in data management and reporting (KPI analysis).
  • Skills: Strong communication (verbal and written), familiarity with AirCall and Zendesk, ability to improve processes.
  • Attributes: Strong relationship management, multitasking, attention to detail, teamwork, time management, integrity, resilience, and ability to work under pressure.
