About the Role:
We are seeking a highly organized and detail-oriented Front of House Administrator to join our team at Bain and Gray. As the first point of contact for our clients and visitors, you will be responsible for providing exceptional customer service and ensuring a smooth and efficient experience for all.
Key Responsibilities:
- Acting as the First Point of Contact: Greet visitors, respond to correspondence, and manage incoming calls and emails.
- Reception Management: Maintain a clean and organized reception area, manage meeting room bookings, and ensure all necessary arrangements are made for visitors and staff.
- Administrative Support: Provide administrative support to the office staff, including processing expenses, formatting documents, and running errands as needed.
- Communication and Liaison: Liaise with suppliers, office manager, and building management to ensure seamless operations.
- Security and Health & Safety: Maintain records of safety-related equipment maintenance and ensure compliance with company policies.
- Event Planning: Assist with planning and coordinating events, including travel arrangements, accommodation, and refreshments.
Requirements:
- Discretion and Trustworthiness: Ability to handle confidential information with discretion.
- Sound Judgement and Common Sense: Ability to multitask and prioritize tasks effectively.
