Job Description

C2 Recruitment - Retail, Hospitality & Charity Specialists is seeking a skilled Volunteer Administrator to join our team. As a key member of our People & Culture team, you will play a vital role in supporting the volunteer hub and contributing to the growth and development of our volunteering service.

Key Responsibilities:
  • Administration Support: Provide overall administrative support to the Volunteer Services team, ensuring seamless day-to-day operations.
  • Recruitment and Onboarding: Assist in end-to-end recruitment processes, from advertisement to onboarding, working closely with managers to determine effective recruitment strategies.
  • Safe Recruitment Checks: Conduct thorough safer recruitment checks, assessing when escalation is required to resolve issues or discrepancies.
  • Reference Enquiries: Process reference enquires on an accurate and timely basis, ensuring compliance with relevant regulations.
  • Query Management: Monitor and deal with queries received into generic Voluntary Services inboxes, responding professionally, tactfully, and diplomatically.
  • First Point of Contact: Serve as the first point of contact for the team, handling calls from the workforce that may be confidential and sensitive, and providing first-level advice and guidance or referral to another team member.
  • HRIS Input: Accurately and timely input information into the HR Information System, ensuring data integrity and compliance.
  • People Advice: Provide basic people advice when responding to and resolving queries, ensuring a high level of customer satisfaction.
Requirements:
  • CIPD Level 3 or Diploma: Hold a CIPD level 3 or diploma qualification or equivalent level of demonstrable experience in Volunteer Management and/or People functions.

  • Recruitment Experience: Possess demonstrable experience of working in a people-orientated function and recruitment, delivering high-volume end-to-end recruitment campaigns and supporting managers to develop and implement plans.
  • Pre-Employment Checks: Have comprehensive knowledge and understanding of pre-employment checks and UKBA requirements, sufficient to be a point of escalation for resolution of queries and concerns.
  • Voluntary Services Management: Possess an understanding of key voluntary services management and information applicable to the role.
  • Microsoft Office: Be proficient in the use of Microsoft Office, including Word, Excel, PowerPoint, and Outlook, to competently compose letters, reports, excel spreadsheets/charts, presentations, and data input.
  • Priority Management: Demonstrate the ability to prioritize and meet deadlines, sustaining medium and long-term priorities.
  • Compliance Audits: Have experience of undertaking compliance audits on recruitment activity, analyzing data, and providing assurance reports to ensure best practice and quality governance.
  • HR Information Systems: Possess experience of using computerized and web-based HR information systems, e.g., DBS, HRIS, Learning Management Systems.
