Job Overview
An excellent opportunity is available to become a vital member of the General Surgery Administration Team, which includes Colorectal, Upper GI, Vascular, and Breast services.
We seek an individual with swift and precise typing abilities, coupled with the capacity to offer administrative assistance to a dynamic team supporting consultants and their respective teams.
The ideal candidate will be self-motivated, possess outstanding communication skills, and demonstrate the ability to work independently. Familiarity with medical terminology and audio typing would be beneficial.
The successful applicant will collaborate within a team in a shared office setting.
Main Responsibilities
- Assist the Personal Assistant/Administrative Personal Assistant in delivering a thorough secretarial service, including organizing and coordinating arrangements, typing and distributing documents and reports, recording information, and filing, ensuring all documentation meets the expected performance standards and deadlines.
- Provide a comprehensive clerical service to the divisions, executing all relevant tasks such as retrieving, preparing, and filing patient information/data, arranging transport, scheduling appointments, managing correspondence, photocopying, faxing, and emailing, as well as distributing reports and letters according to service requirements.
- Maintain systems and processes to guarantee that patient information/data is accessible at the appropriate time, in the correct location, and complete and accurate according to established quality standards.

Job Responsibilities
- Update patient information/data post-appointment, adhering to agreed quality standards, and locate and retrieve supplementary documentation as needed, ensuring diagnostic reports and essential documents are filed appropriately.
- Maintain the case note tracking system, ensuring its proper functionality, promptly addressing and/or reporting any issues or delays.
- Utilize the necessary electronic systems for correspondence, clinic management, and result retrieval as required.
- Foster constructive relationships with colleagues across divisions and externally to enhance service effectiveness and efficiency for patients.
Qualifications & Knowledge
Essential
- Proficient in computer skills, including ECDL or equivalent, and Microsoft Office.
- Experience in typing/keyboard operations.
Desirable
- Familiarity with hospital systems (PCS).
- Understanding of medical terminology.
