Job Title: Academic and Operations Officer

Production Futures is seeking a highly skilled Academic and Operations Officer to join our team. As a key member of our operations team, you will play a vital role in the planning and preparation of events, ensuring seamless execution and exceptional customer experiences.

Key Responsibilities:
  • Main point of contact for clients to ensure customer expectations and requirements are fulfilled.
  • Prepare, rig, and de-rig equipment prior to events and be available on-site for technical issues.
  • Proactively contact clients to develop and build sales potential, interpret technical solutions, and arrange meetings to establish requirements.
  • Build and maintain a portfolio of standard set designs and visuals to enable clients to visualize possibilities.
  • Maximize sales potential by up-selling services and increasing turnover.
  • Participate in capture rate discussions and suggest ways to capture lost business.
  • Monitor sales files to review upcoming groups and ensure sales processes are followed.
  • Foster good relations with sales team members to maximize new leads and educate the team on services.
  • Develop a database of clients and proactively correspond with clients to pursue future business.
  • Ensure all areas of responsibility are within budget parameters and negotiate preferential rates.
  • Utilize in-house services before outsourcing and be aware of turnover targets.
  • Develop sales and marketing literature specific to the hotel/venue.
  • Report to the hotel/venue and attend weekly staff meetings to ensure communication does not break down.
  • Cultivate good relations with hotel/venue staff and create development plans to improve service levels.
  • Attend regular meetings with the London office to ensure delegated duties are carried out effectively.
  • Create and standardize information systems for equipment movements and requirements.
  • Develop dry hire shows and large-scale events with involvement in the tender process and pre-production.
  • Build long-term customer loyalty by converting one-off hotel corporate client events to established client accounts.
  • Monitor competitor activity and approach clients for future activity.
  • Delegate technical responsibility to on-site technicians and ensure duties are achieved within deadlines.

Requirements:

  • High School Diploma, Mathematics and English GCSE or equivalent.
  • Strong AV/live events experience preferred.
  • Previous experience within the Service and Hospitality industry preferred.
  • Previous experience of audio-visual experience or equivalent in an educational environment beneficial.
