In this role, you will play a vital part in ensuring the smooth operation of our department by providing comprehensive administrative support. Your responsibilities will encompass a wide range of tasks, including:

  • Event Coordination: Assisting with the planning and execution of various events, from scheduling to logistics.
  • Secretarial Support: Providing essential secretarial assistance within designated work areas, such as preparing correspondence, managing files, and handling inquiries.
  • Electronic File Management: Maintaining and organizing electronic files within defined work areas, ensuring accuracy and accessibility.
  • Client Communication: Effectively responding to inquiries from both internal and external clients in a timely and professional manner. When necessary, you will initiate responses within the framework of NHS England policies or redirect inquiries to appropriate personnel.
  • Confidentiality: Handling all confidential information with discretion and sensitivity, adhering to strict protocols.
  • Diary Management and Meeting Coordination: Managing diaries efficiently, arranging internal and external meetings and appointments. You will also liaise with conference organizers and arrange travel and accommodation when required.
  • General Office Duties: Performing general office duties such as drafting correspondence, handling telephone and email inquiries, and taking minutes during meetings.

To excel in this role, you will possess the following qualifications and experience:

  • Essential Qualifications: A nationally recognized qualification (NVQ or BTEC) in business/office administration at level 3 or above, or an equivalent. GCSE grade C or above (or equivalent) in English and Mathematics. Formal qualification or training / intermediate knowledge of Microsoft Office Applications (Word, Excel), or demonstrable extensive use and understanding of these applications.
  • Essential Experience: Significant demonstrable experience working in an administrative/support role. Significant demonstrable experience using Microsoft Office Applications, Office 365, Email, and the Internet (intermediate level). Diary Management Experience of taking formal minutes.
