This role involves providing comprehensive administrative assistance to Consultant Psychiatrists and their medical teams. You will take charge of the daily operations related to administrative, clerical, and secretarial tasks essential for a Consultant-led service. Your ability to work independently and manage complex situations will be crucial in delivering a client-centered service that fosters excellent customer relations.
Key Responsibilities
As a Clinical Administrative Coordinator, you will ensure a high level of secretarial and administrative support to the Consultant and the medical team. Daily interactions will occur with various staff members and regular communication with service users and their families, who may sometimes be in distress.
Your main responsibilities will include:
- Typing clinic notes and correspondence
- Scheduling appointments efficiently
- Overseeing the medical diaries within your designated team
- Maintaining records for referrals, follow-ups, and annual assessments
- Utilizing a patient management system (training will be provided)
- Responding to inquiries from healthcare professionals and external organizations
- Managing prescription requests
- Uploading necessary documents and prescriptions as needed
- Providing reception coverage during breaks and absences

Our Assessment and Treatment Service operates Monday to Friday, providing support for individuals facing mental health challenges in collaboration with various health services.

Administrative Duties
- Serve as a point of contact for telephone inquiries from a diverse range of individuals, including service users, their families, and staff from various levels within the organization and external agencies, ensuring a professional and confidential messaging service.
- Deliver exceptional administrative and secretarial support using various software applications, adhering to strict deadlines and maintaining high accuracy standards.
- Provide personal assistant services to the Consultant, including managing correspondence and highlighting urgent matters.
- Maintain up-to-date electronic records for service users using the appropriate software.
- Coordinate transport and interpreter services for service users as required.
- Conduct research and assist with ad-hoc projects for the Consultant and medical team, including managing complex data and spreadsheets.
- Proactively organize and prioritize your workload, addressing issues as they arise and proposing solutions.
- Participate in the Trust's supervision and appraisal processes.
- Engage in training and personal development opportunities as agreed with your line manager.
- Support the wider team and service functions through various administrative tasks.
- Act as a resource for ICT-related matters when appropriate.
- Contribute positively to the team's effectiveness and efficiency.
- Uphold health and safety regulations and Trust policies to maintain a safe working environment.
Qualifications and Experience
Essential
- Relevant NVQ3 qualification / RSA 3 or equivalent
- Extensive knowledge of secretarial procedures
- Proficiency in various software applications
- Familiarity with medical terminology
- Previous experience in a similar administrative role
