About the Role:

This is an exciting opportunity to join Taylor Rose as a skilled Administrative Support Specialist. As a key member of our team, you will play a vital role in ensuring the smooth operation of our office.

Key Responsibilities:

  • Portal Tasks:
    • Conduct ID checks and AML checks to ensure compliance with regulatory requirements.
    • Verify data integrity and resolve conflicts to maintain accurate records.
    • Process live status file openings and address file opening issues in a timely manner.
  • Client Portal Helpdesk:
    • Provide exceptional customer service by responding to phone calls and online chats from clients.
    • Collaborate with IT and external suppliers to resolve technical issues with the client portal system.
    • Work closely with fee earners and branch support staff to address matter-related inquiries.
  • Administrative Support:
    • Perform general administrative tasks, including client greeting and outgoing post.
    • Manage the centralized Mattersphere System Database and create associate contacts.
    • Process branch office requests for data changes and maintain accurate records.
  • Reprographics Function:
    • Produce bundles, index services, and binding services to meet client requirements.
    • Provide large print volume facilities, specialist print and copy services, and document scanning and digitization services.
    • Create CDs/DVDs and upload files securely using USB drives.

  • Professional, honest, flexible, and reliable attitude and approach.
  • Strong communication skills and ability to communicate at all levels and across all departments.
  • Able to work within a team and independently, demonstrating initiative and a strong work ethic.

  • Proficient in Microsoft Office and case management systems.
  • Ability to travel to other offices to provide support when required.
