We are seeking a detail-oriented and motivated Buying Admin Assistant to support our buying team. This role is ideal for individuals who are passionate about the retail industry and eager to begin their careers in buying and merchandising.

Key Responsibilities
  • Purchase Order Management: Support the buying team to execute and prepare new purchase orders and make required changes to existing purchase orders. Track and analyze replenishment timeframes across suppliers. Coordinate between the logistics team and external supplier partners to ensure on-time delivery of orders.
  • Market Research and Analysis: Assist in conducting research on Asian Beauty market trends, competitor products, and customer preferences to support the buying team in making informed decisions.
  • Supplier Communication and Relationship Management: Liaise with suppliers to confirm order details, monitor delivery schedules, and address any issues that may arise. Assist with note-taking and preparation for Supplier meetings.
  • Data Entry and Reporting: Enter and maintain accurate data related to products, pricing, and inventory levels, and assist in generating reports for the buying team. Contribute to buying product deep dives and sales recaps.
  • Product Catalogue Management: Help manage the product lifecycle by ensuring new products are added to our inventory systems, and discontinued products are removed in a timely manner.
  • Brand Onboarding and Integration: Coordinate and track the onboarding process for new brands, ensuring all necessary documentation, product information, and inventory details are accurately entered into our systems.
Essential Qualifications
  • Prior experience in buying, beauty experience is not required but preferred.
  • High level of curiosity and enthusiasm for continuous learning and professional development.
  • Excellent analytical skills with the ability to interpret complex data and trends.
  • Proficiency in English with excellent written and verbal communication skills.
