About the Role

We are seeking a highly organized and detail-oriented Workplace Support Specialist to join our team at Mayo Wynne Baxter. As a key member of our client services team, you will play a vital role in ensuring the smooth operation of our office and providing exceptional support to our clients.

Key Responsibilities
  • Client Support
    • Meet and greet clients and visitors, creating a positive first impression
    • Manage visitor flow and ensure all necessary procedures are followed
    • Liaise with the building reception team as needed
  • Office Administration
    • Ensure the meeting rooms, reception area, and collaboration spaces are well-maintained and presentable
    • Assist with the movement and organization of office equipment and furniture
    • Organize and serve catering and refreshments to clients
  • Facilities Management
    • Ensure the refreshment areas are well-stocked, clean, and tidy
    • Manage coffee machines, performing daily stock-ups and weekly deep cleaning
    • Set up and clear down meeting rooms, including furniture layout changes and equipment setup
  • IT Support
    • Set up and troubleshoot technical equipment in meeting rooms
    • Organize IT team support for specific meetings or events
  • Communication
    • Answer phone calls in a timely manner
    • Liaise with clients and internal teams regarding bookings and requirements
  • Reporting and Maintenance
    • Report any equipment or furniture issues to the relevant teams
    • Assist with implementing our environmental policy and maintaining recycling areas
  • Ad Hoc Duties
    • Perform other duties as required by the line manager
    • Be flexible and willing to travel to other locations to cover duties during sickness or holiday
Requirements
  • Experience working in a similar role within professional services
  • Flexibility with working hours to meet business needs
  • Excellent IT skills and ability to use Microsoft Office products
  • Ability to work well under pressure and remain calm and professional
  • Exceptional organization skills and attention to detail
  • Effective communication and relationship-building skills
  • Attitude of continuous improvement and willingness to learn
