We are seeking an Administrative Affairs Specialist to support various functions within our organization.
Your primary responsibility will be to assist all departments in administrative affairs and provide essential support to the Facilities division.
The role encompasses a variety of tasks, including managing office supplies, overseeing the company vehicle fleet, processing invoices, and coordinating facility contracts and maintenance. Additionally, you will take charge of organizing events such as corporate gatherings.
You will collaborate closely with the Business Support Team to enhance employee benefits and foster engagement.Key Qualifications:

Compensation:
- Salary: £28,000 - £29,950 + £1,610 lunch allowance (in addition to base salary)
- Working Hours: 37.5 hours per week, Monday - Thursday 9:00 AM - 5:30 PM and Friday 9:00 AM - 3:00 PM
Responsibilities:
- Oversee daily administrative and organizational tasks.
- Manage the company vehicle fleet in accordance with internal policies, ensuring timely renewals.
- Administer the annual renewal of business insurance policies to comply with legal requirements.
- Facilitate employee benefits packages, including travel insurance and ECS schemes, in alignment with UK policies.
- Process Business Support invoices using the system (Xsuite) and assist in budget management.
- Handle supply management, including office stationery and equipment maintenance.
- Maintain relationships with service providers, business contacts, and potential vendors.
- Coordinate meetings, business trips, hotel and flight bookings, catering, and VIP visits.
- Organize special events and occasions, including corporate and charity events.
Benefits:
