This is an exciting opportunity for a resourceful and reliable individual to join our team and become an integral part of the Director's day-to-day life.
Key Responsibilities- Provide comprehensive executive and administrative support to the Director, including diary and inbox management, document preparation, and travel coordination.
- Accurately manage the Director's schedule, ensuring seamless coordination of internal and external appointments, conference calls, and meetings.
- Prepare and distribute meeting minutes, reports, and presentations, as well as coordinate and attend meetings as required.
- Manage personal administration tasks, such as family travel arrangements, bill payments, and gift purchases.
- Support the Director in working closely with senior leadership, including coordinating and attending meetings, taking notes, and progressing agreed actions.
- Book travel and research travel options, preparing a full travel itinerary and ensuring the Director is well-prepared.
- Manage ad-hoc projects as necessary, working with internal and external stakeholders to ensure queries are answered.
- Screen phone calls, enquiries, and requests, handling them as appropriate.
- Coordinate external restaurant bookings and catering requirements for internal meetings.
- Manage email correspondence and respond to queries in a timely and professional manner.
- Organize corporate events, such as football matches, company social events, and charity days, with internal and external attendees.
- Interact with other directors and carry out their requests as needed.
- Prepare refreshments and replenish stocks as required.
- Meet and greet visitors at all levels of seniority.
- Liaise with clients, suppliers, and other staff members.
- Highly experienced (ideally above 5 years of experience) in a similar role.
- Confident communication skills, both written and verbal.
- Strong attention to detail and computer literacy.
- Proactive approach to work, with the ability to be flexible and work under pressure in a busy environment.
- Team player with a positive outlook and strong work ethic.
- Ability to use own initiative and know when to seek advice.
- Acts with professional integrity at all times.
- Committed to high standards of quality and seeks to improve systems and processes.
