Job Purpose

To provide administrative support to the Regional Audit department, ensuring the efficient operation of the team and the delivery of high-quality audit services.

Key Responsibilities
  • Exam Training Management
    • Support trainees throughout their training contract, ensuring timely course and exam bookings, and providing guidance and support as needed.
    • Oversee the Exam Support Group, ensuring effective communication and coordination.
    • Update RAMP, Line Managers, and HR on trainees' progress, addressing any issues that arise.
    • Liaise with external training providers to obtain updates on students' progress and performance.
    • Assist Audit Group Managers in producing business cases for continuing trainee contracts, as required.
    • Organize and facilitate regular National ETM Meetings to ensure consistency across the region.
    • Provide training and guidance to newly appointed ETMs, as needed.
  • Staff Planning and Retain Management
    • Manage regional staffing issues, including approval and decline of holiday and TOIL requests.
    • Meet with HR and AGMs fortnightly to discuss staffing matters.
    • Keep RAMP informed of significant staffing issues.
    • Ensure annual leave and TOIL balances are accurately recorded in Retain.
    • Oversee bi-annual roll-forward exercises, ensuring completion by the National deadline.
    • Attend AGM meetings and additional staffing meetings, as required.
    • Monitor Retain bookings, comparing to budget and allocating resources effectively.
  • Internal Training Courses
    • Organize ad-hoc internal training courses, as needed.
    • Liaise with AQC's to ensure Regional Audit Team members are booked on mandatory training courses.
  • Regional Administrative Support
    • Book and set up non-mandatory training and team meetings.
    • Act as NW liaison for RAMP, coordinating local office meetings.
    • Attend Manager Meetings, take minutes, and complete action points.
    • Attend Moderation Meetings, as required.
  • Other Audit Support
    • Attend interviews with Part Qualified candidates to discuss study and exam pathways.
    • Integrate new joiners into the Audit Department, organizing social events and calls with the team.
    Personal and Professional Qualities
    • Ability to work in a fast-paced commercial environment.
    • Confident communication with senior stakeholders, with experience in previous roles.
    • Effective time management and meeting deadlines.
    • High attention to detail when processing information.
    • Team player, flexible in supporting colleagues.
    • Supervising others, with experience in raising morale in team situations.
    • Experience with Retain, with training provided if necessary.
    • Proficient in MS Office.
