Position Overview
As a skilled and confident Executive Assistant and Office Coordinator, you will collaborate closely with the Senior Management Team of this reputable and expanding organization. Your involvement will span various aspects of the business, from supporting HR functions to overseeing company vehicle inspections and much more.
This is a fast-paced role that offers you the opportunity to take initiative and make a significant impact.

Key Responsibilities of the Executive Assistant and Office Coordinator:

  • Demonstrated experience in reporting to senior management.
  • Outstanding verbal communication abilities.
  • Proven capability to work independently.
  • Adept at managing multiple tasks simultaneously.
  • Strong attention to detail.
  • Proficient in Microsoft Word, Excel, and Outlook (knowledge of PowerPoint is a plus).
  • Shorthand skills are advantageous.
  • Possession of own transport.
  • Experience in HR and personnel management.
  • Track record of handling confidential information.
  • Adaptability and flexibility.
  • Experience in minute-taking.

Specific Duties Include:

  • Maintaining human resources records, including offer letters, reference requests, and employment contracts, as well as Health and Safety documentation.
  • Performing various administrative tasks.
  • Taking and transcribing meeting minutes (approximately once a week).
  • Managing the ordering of office supplies and printing needs.
  • Conducting inspections of company vehicles.
  • Coordinating company events.
  • Processing supplier invoices.
  • Overseeing and organizing office/site cleaning and maintenance.
