Main Responsibilities

The Academic Services Administrator will be responsible for providing administrative support to the Assessment and Awards Team, with a focus on specific areas of Assessment and Awards Administration.

  • Process student withdrawals, interruptions of studies, cancellations, and other related tasks within agreed time scales to ensure departmental KPIs are met.
  • Update the Student Record System on a daily basis, ensuring accuracy of the data being inputted.
  • Support the preparation for exams, including coordinating logistics and communicating with relevant stakeholders.
  • Support Enrolment activities for all partners, ensuring seamless transitions and timely completion of tasks.
  • Provide secretarial support for various committees and meetings, as required.
  • Collate and store highly confidential documentation, adhering to GDPR regulations.
  • Communicate effectively with staff across the organization, ensuring clear understanding of tasks and deadlines.
  • Support the administration for the preparation of Assessment Boards, including inputting board outcomes onto the Student Records System.
  • Be involved with the operation of Awards Ceremonies, ensuring smooth execution and timely completion.
  • Support the distribution of Certificates to students, maintaining accurate records and ensuring timely delivery.
  • Deal with queries from academic and Professional Services colleagues and students, providing clear and concise information and resolving issues promptly.
  • Undertake other appropriate duties as required by members of the Academic Services Leadership Team.
Requirements

The ideal candidate will possess:

  • Higher Education experience, with a strong understanding of academic processes and procedures.
  • A customer/student-focused approach, with excellent communication and interpersonal skills.
  • Strong IT skills, with proficiency in MS Office applications such as Excel, Word, and Outlook.
  • Excellent communication skills, both written and verbal, with the ability to communicate effectively with staff at all levels.
  • Good attention to detail, with the ability to maintain accurate records and ensure timely completion of tasks.
  • Ability to work well as part of a team, with a flexible and adaptable approach to work.
  • Ability to work under pressure and to deadlines, with a willingness to work additional hours as necessary.
  • Ability to handle confidential and sensitive information, adhering to GDPR regulations.
  • Desirable skills and experience include a can-do attitude, well-developed problem-solving skills, and the ability to use initiative and judgement to resolve matters.
