We are in search of a seasoned and professional individual to fulfill a dual role as Admin/Front of House (FOH) Concierge.

Role Overview:

The ideal candidate will be dynamic and detail-oriented, excelling in delivering exceptional customer service while managing a diverse range of administrative responsibilities. As the first point of contact for clients and visitors, you will ensure a remarkable experience, demonstrating discretion, maturity, and a proactive approach to problem-solving.

Key Responsibilities:

- Administrative Support:

  • Assist with procurement and sourcing tasks, including generating Purchase Orders, tracking, and conducting Goods Receipts (GRs).
  • Conduct weekly reviews and reporting on procurement and sourcing progress.
  • Support the preparation of monthly Health, Safety & Environment (HSE) and Facilities Management (FM) reports.
  • Maintain and update essential documents and platforms, such as seating arrangements and Emergency Response Plans.
  • Facilitate internal communications, supporting teams while ensuring adherence to corporate guidelines.
  • Assist in the planning and execution of departmental relocations and reorganizations.

- Front of House Duties:

  • Deliver a warm welcome and exceptional service to VIP guests and visitors.
  • Manage meeting room reservations, daily briefings, and ensure all spaces are prepared.
  • Continuously enhance services for visitors and staff, including reception, refreshments, cleaning, and security.
  • Promptly address and resolve any issues impacting service delivery.
  • Ensure monthly statistics are accurately recorded and maintained.

- Team Leadership & Compliance:

  • Lead and oversee the concierge team, providing training and support as needed.
  • Ensure adherence to client objectives, policies, and procedures.
  • Act as the primary contact for the concierge team during emergencies and evacuations.
  • Serve as a fire warden, leading evacuation procedures and coordinating with the client's incident commander.

- Health, Safety, and Environment (HSE) Responsibilities:

  • Adhere to the HSE objectives set by the client.
  • Manage information and assets according to the client's Information Security User Standard.
  • Actively engage in emergency procedures, including communication and coordination with first aiders and external entities.

- Required Qualifications & Skills:

  • Experience: A minimum of 2 years in a comparable role, ideally within a high-end or corporate setting.

Skills:

  • Exceptional communication skills, both written and verbal.
  • Proactive, energetic, and capable of working under pressure.
  • Strong organizational skills with meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
  • Ability to lead and inspire a team, with experience in training and development.

Preferred Qualifications:

  • Experience in facilities management, procurement, or HSE roles.
  • First Aid certification or willingness to serve as a first aider.
