About the Role

We are seeking an experienced Executive Support Specialist to join our team at ISE Partners. As an Executive Assistant and Project Coordinator, you will provide high-level administrative support to our Managing Director and contribute to the success of our projects.

Key Responsibilities
  • Calendar Management: Schedule meetings, appointments, and travel arrangements for the MD, ensuring seamless coordination and minimal disruptions.
  • Communication and Correspondence: Manage the MD's inbox, respond to emails, and draft correspondence on their behalf, maintaining a professional tone and adhering to company standards.
  • Project Coordination: Assist in the planning, organization, and execution of projects, ensuring timely completion and meeting client expectations.
  • Travel Arrangements: Coordinate travel itineraries, prepare travel packs, and make necessary arrangements for the MD's business trips.
  • Document Management: Maintain accurate and up-to-date records, both physical and electronic, and ensure compliance with company policies and procedures.
  • Stakeholder Management: Liaise with external stakeholders, including clients, vendors, and partners, to ensure smooth communication and collaboration.
  • Ad Hoc Projects: Assist with special projects and tasks as required, demonstrating flexibility and a willingness to adapt to changing priorities.
Requirements
  • Minimum 5-8 years of experience as an Executive Assistant or Project Coordinator in a professional environment.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with clients, colleagues, and stakeholders.
  • Proficiency in Microsoft Office, with experience in calendar management, email, and document preparation.
  • Ability to work in an office environment, with a minimum of 3 days per week, and flexibility to adapt to changing work arrangements.
