Position Overview
As a proficient and experienced Executive Assistant and Office Coordinator, you will collaborate closely with the Senior Management Team of a well-established and reputable organization. Your role will encompass a wide range of responsibilities, from supporting human resources to overseeing the condition of company vehicles and everything in between.
This is a fast-paced position that offers the opportunity to make a significant impact.

Key Responsibilities of the Executive Assistant and Office Coordinator:

  • Demonstrated experience in reporting to senior management.
  • Outstanding verbal communication abilities.
  • Capability to work independently and take initiative.
  • Adept at managing multiple tasks simultaneously.
  • Strong attention to detail.
  • Proficient in Microsoft Word, Excel, and Outlook (knowledge of PowerPoint is a plus).
  • Shorthand skills are advantageous.
  • Possession of personal transportation.
  • Experience in HR and personnel management.
  • Proven track record of handling confidential information.
  • Flexibility in adapting to changing priorities.
  • Experience in minute-taking.

Responsibilities Include:

  • Maintaining human resources documentation, including offer letters, reference requests, and employment contracts.
  • Performing various administrative tasks.
  • Taking and transcribing meeting minutes (approximately once a week).
  • Managing orders for office supplies and printing needs.
  • Conducting inspections of company vehicles.
  • Coordinating company events.
  • Processing supplier invoices.
  • Overseeing and organizing office and site cleaning and maintenance.
