Role Overview

The incumbent will oversee the management of site space for multiple locations, ensuring optimal utilization and strategic planning.

Key Responsibilities
  • Collaborate with the Business Partner to develop and implement a comprehensive Site Master Plan, focusing on effective Space Management.
  • Assist in creating and executing standardized compliance measures in line with EN Standards, including Key Performance Indicators for Office Space Management.
  • Act as the primary liaison for Space Management across various sites, fostering a collaborative and efficient working relationship.
  • Coordinate with service and furniture providers to ensure project timelines, costs, and quality standards are met.
  • Provide project management expertise for specific requests from other sites.
  • Oversee budget control for Space Management activities, ensuring adherence to financial targets.
  • Manage the procurement of services necessary for executing agreed Space Management initiatives.
  • Support the Business Partner in tracking and reporting on space-related expenditures.
  • Facilitate the relocation of office personnel, furniture, and IT equipment across designated sites.
  • Maintain and secure the Office Space Management Database, including drawings and space allocation using AutoCAD.
  • Standardize conference and meeting room layouts and furniture, conducting stakeholder reviews and surveys to assess effectiveness.
  • Administer the allocation of the Space Management budget, including annual forecasting and monthly expenditure tracking.
  • Ensure the accuracy of Space Management Office Master Drawings and Database, providing real-time data to team members and stakeholders.
  • Develop compliant solutions for Transnational Space Management that align with current and future business needs.
  • Deliver on planned budget performance as validated by site management.
  • Implement master planning solutions for site moves, ensuring alignment with operational requirements and financial constraints.
Required Skills and Experience

Essential qualifications include:

  • Proven experience and understanding of Site Space Management.
  • Background in Facilities Management.
