Job Overview

The Bid Coordinator will be responsible for the administration associated with bid and sales processes, ensuring accurate and timely completion of PQQ, RFI, and basic ITT documents. This role requires strong organizational skills, attention to detail, and the ability to work under pressure in a deadline-driven environment.

Main Duties

  • Collaborate with the bid team, sales team, and operational colleagues to ensure clear oversight of all administrative tasks associated with bid processes.
  • Manage shared bid team mailboxes to ensure all correspondence is dealt with swiftly.
  • Support the Bid and Sales Programme Manager with the ongoing management of bid portal registrations, including comprehensive record-keeping.
  • Support with tender administration, including reviewing tender advertisements and liaising with the Sales teams to establish their interest in opportunities.
  • Support the management of team activity trackers and introduce governance procedures and processes associated with Bid Team activity.
  • Maintain Bid Team SharePoint and Teams sites to enable effective and efficient management of tender processes.
  • Assist with the completion of standard information documents at all stages of the bid lifecycle, including submissions.
  • Support compliance with internal audit and governance standards.

Requirements

  • Strong time management and prioritization skills.
  • Ability to work well under pressure and in a deadline-driven environment.
  • Excellent coordination and organizational skills.
  • Excellent attention to detail.
  • Ability to communicate and influence stakeholders up to senior level.
  • Strong written English language skills.
  • Proficient MS Office skills.
  • Minimum 2 years' experience within a bid/administrative role.
  • Ability to work to your own initiative, while also working well as an integral team member.
