Job Overview

To provide administrative support to the Respiratory Team, ensuring the smooth operation of the department. This role involves managing appointments, maintaining accurate records, and communicating with clients and other services on behalf of the team.

Main Duties
  1. Manage referrals and messages, ensuring timely and accurate logging and distribution to the appropriate clinician.
  2. Record referrals and retrieve patient information using the Rio Data Management System.
  3. Scan referrals and upload them into the patient information system in a secure and accurate manner.
  4. Administer appointments, receive patients, and contribute to resolving problems that may arise with patients or their carers.
  5. Disseminate information to clinical teams and managers as requested.
  6. Organize care packages and referrals to other agencies under the direction of a senior nurse.
  7. Produce regular statistical performance information and provide patient information on an ad hoc basis for management.
  8. Complete monthly sickness and absence information on e-roster as requested.
  9. Receive visitors and deal with telephone calls as necessary.

Person Specification

Essential Criteria

  • Able to produce evidence of a good basic education, including numeracy and literacy skills.
  • NVQ3 in secretarial or office administration or equivalent experience or willingness to work towards this qualification.

Desirable Criteria

  • Computer skills, including proficiency in appointment systems.

Experience and Knowledge

  • Experience in using appointment systems.

Desirable Criteria

  • Clerical experience in an NHS setting.
  • Knowledge of working in a medical setting and using medical terminology.

Skills and Abilities

  • Excellent communication skills, both face-to-face and via telephone.
  • Ability to handle patient queries tactfully and respectfully.
  • Ability to deal with multiple issues simultaneously and balance conflicting demands.
  • Ability to learn new software programs.
