Job Description

Job Title: Leadership Office Manager

Job Summary:

We are seeking an experienced and skilled Leadership Office Manager to join our team at Ashford & St. Peter's Hospitals NHS Foundation Trust. The successful candidate will be responsible for providing administrative support to the leadership team, ensuring the smooth operation of the office, and contributing to the achievement of the Trust's strategic objectives.

Key Responsibilities:

  1. Contribute to the achievement of the Trust's vision, strategic objectives, and key work programmes.
  2. Manage a robust complaint rota and ensure the smooth daily running of the 3-tier rota.
  3. Record absence levels for all grades of junior doctors within the Division using the Electronic Staff Reporting tool.
  4. Monitor annual leave, study leave, and sickness, reporting abnormal levels to the Service Manager and ADO.
  5. Record all study leave requests and ensure the rota has been adjusted accordingly.
  6. Manage doctors' rotas, making adjustments on a daily basis depending on staffing levels.
  7. Ensure junior doctors' rotas are EWTD compliant, efficient, and effective.
  8. Prepare and facilitate junior doctor induction programmes, including preparing handbooks and packs.
  9. Liaise with Human Resources and Consultants to ensure junior medical staffing recruitment and staffing needs are identified and actioned.
  10. Liaise with junior doctors over shift shortfalls and availability to cover.
  11. Ensure sickness records for all junior doctors are up to date.
  12. Review and confirm all timesheets received from medical staff and locum agencies.
  13. Update medical staffing lists regularly.
  14. Provide data to the Service Manager on medical staffing expenditure within the Division.
  15. Undertake other administrative and support duties required by the Division.
  16. Line manage the junior doctor rota in line with the Trust's HR policies and procedures.
  17. Ensure patients receive excellent communication from the administrative team.
  18. Ensure clinical office processes support the Trust's 18-week RTT performance targets.
  19. Manage an efficient clinical office.
  20. Provide cross-cover for the clinical office team leader role.
