About the Role

We are seeking a highly organized and detail-oriented Ward Clerk to provide administrative support to our team at Wrightington Wigan & Leigh Teaching Hospitals NHS Foundation Trust.

Key Responsibilities
  • Communication and Liaison
    • Provide effective verbal, written, and electronic communications by receiving and passing on clear messages and seeking assistance when required.
    • Answer telephones and relay messages and enquires in a timely manner to nurse, doctors, and patients.
    • Act as the first point of contact for the person in charge, dealing appropriately with all communications and tasks allocated, including sensitive issues.
  • Administrative Tasks
    • Maintain and photocopy records, prepare forms, and make appointments as requested.
    • Organize hospital transport and ensure that information given is accurate and up to date.
    • Ensure patients' pathways are printed and available for nursing/medical staff.
    • Scan all pathways for admission and ensure name beds are printed out for all patients.
  • IT and Data Management
    • Use the PAS/MSS system effectively, inputting data, checking recorded personal demographic details, and updating demographic details as needed.
    • Liaise with the multi-disciplinary team and assist in chasing up procedures, requesting and obtaining investigation reports, and informing relevant staff members of results.
  • Stationery and Stock Management
    • Maintain stationery and stock levels, including ordering, receiving, and checking deliveries for accuracy and reporting any discrepancies.
    • Ensure adequate stock is available for the multi-disciplinary team.
  • Health and Safety
    • Be aware of and promote good health and safety in the workplace for self, patients, and colleagues.
    • Ensure compliance with compulsory training in moving and handling.
  • Teaching and Supervision
    • Participate in teaching, supervision, and monitoring of new ward clerks and junior staff as directed by the departmental manager.
Person Specification
  • Essential
    • Speak English to an appropriate standard with clear, structured sentences, and vocabulary.
    • Be flexible and hardworking.
    • Have a good knowledge of clerical tasks.
    • Have good communication and organization skills.
    • Be able to work as part of a team or individually.
    • Have experience working within an office environment/hospital setting.
    • Have experience of using clinical systems and coding.
    • Hold basic numeracy and literacy qualifications (or equivalent experience).
  • Desirable
    • Hold a basic keyboard/IT qualification.
