POSITION SUMMARY

We are in search of a dedicated and detail-oriented Wholesale Operations Coordinator to enhance our vibrant team. The successful candidate will manage global wholesale customer orders, including those from distributors, ensuring precision and prompt processing. This role demands a proactive and solution-oriented approach to guarantee the successful execution of wholesale orders and fulfillment, alongside delivering exceptional customer service. The ideal individual will have a proven track record in fostering relationships with key stakeholders, both within the organization and externally. As a growing entity, adept troubleshooting skills are crucial for swiftly addressing challenges while contributing to results and driving ongoing improvements.

CANDIDATE REQUIREMENTS

· 2-3 years of experience in wholesale operations or a related sector

· Proficient in Excel, with skills in data analysis, modeling, and reporting considered advantageous.

· Familiarity with order processing, key account management, and providing tailored services based on unique customer needs.

· Experience in managing third-party logistics and warehouse partnerships.

· Comfortable analyzing extensive data sets to facilitate resolutions.

· Background in the Health and Beauty industry preferred.

· Proficient in systems such as Sage X3 or SAP

· Demonstrated ability to work independently and collaboratively within a team.

· Outstanding organizational skills, meticulous attention to detail, and a capacity to take ownership in a fast-paced environment.

· Proactive mindset, with the ability to anticipate and address potential challenges.

KEY RESPONSIBILITIES

· Manage the complete process from order receipt to final delivery, including coordination with third-party logistics providers.

· Input customer orders into Sage using order forms or EDI-based Customer Vendor Portals; knowledge of CSV format is beneficial.

· Communicate order confirmations and updates to customers, including information on out-of-stock items and estimated availability dates.

· Coordinate with third-party warehouses and shipping companies to ensure timely and efficient delivery.

· Maintain a comprehensive understanding of key accounts and their vendor portal ERP systems, along with their specific shipping guidelines.

· Take responsibility for resolving customer issues and ensuring follow-through to resolution.

· Handle returns, credits, and debit notes related to damages or shortages.

· Analyze inventory reports and demand forecasts to identify risks and stock level gaps, collaborating with cross-functional teams on stock movements.

· Assist in maintaining customer price lists and order forms, including updates for price changes, new products, and discontinuations.

· Contribute to generating reports and analyzing sales data.

· Manage order execution to support the achievement of the company's sales targets.

· Lead day-to-day account activities and respond promptly to client requests.

· Identify and escalate account issues as necessary.

· Demonstrate initiative, quick responsiveness, logical thinking, and problem-solving abilities.

· Provide solutions and communicate effectively and efficiently.

· Comfortable working both in a team setting and independently managing personal workload.

· Strong communication and interpersonal skills, with the ability to build partnerships at all organizational levels.
