Job Summary:
We are seeking a highly organized and detail-oriented Executive Assistant to join our team at Recruit a Mum. As an Executive Assistant, you will provide administrative support to our senior management team, ensuring the smooth day-to-day operations of the office.
Key Responsibilities:
- Facilitate Departmental Operations: Assist the senior management team in facilitating departmental operations, including managing escalations, coordinating meetings, and providing administrative support.
- Manage Escalations: Manage the Escalations queue, ensuring that escalations are assigned to the relevant person and handled in a timely manner.
- Stand-up & Meeting Management: Schedule relevant people for stand-ups, ensure any preparation is identified and completed ahead of meeting, and attend meetings to take notes and identify follow-up actions.
- Administrative Support: Provide administrative support to the senior management team, including inbox and calendar management, and assist with general office matters.
- Internal Project Management: Assist with internal project management, including keeping timelines and deliverables on track and holding stakeholders accountable.
- Vendor Relationship Management: Build relationships with key partner contacts and assist with vendor management, including helping to build internal knowledge around vendors.
Requirements:
- Experience: 5+ years of experience in a fast-paced business, with experience working in a small business where you have been spread cross-team.
- Skills: Organized and a good communicator, discretion and confidentiality, works quickly and can multi-task where required, excellent attention to detail and well-established organisational skills, excellent communication skills, and proficiency in Microsoft Office.
- Attributes: Interest in technology, experience working in a fast-paced business, and experience in project management would be beneficial.
