The successful candidate will play a pivotal role in the management, enhancement, and advocacy of the Volunteer Program within Nottingham CityCare Partnership CIC.
You will collaborate closely with the Apprenticeship and Career Engagement Manager to ensure a superior volunteering experience throughout the organization, engaging with a diverse array of internal and external stakeholders.
By working in partnership, you will guarantee that all volunteer initiatives comply with the Volunteering Policy and contribute to the execution of the three-year Volunteering Strategy.
The individual in this role will be instrumental in creating and nurturing new volunteer opportunities and will serve as a primary resource for staff seeking guidance on volunteer-related matters.
Key Responsibilities
This position is part of the Learning and Development team at Nottingham CityCare. The role may require attendance at various local events, with some flexibility for hybrid work arrangements.
We seek a motivated individual who is dedicated to fostering and enhancing volunteer opportunities and experiences within the organization.
You will work alongside the Apprenticeship & Career Engagement Manager to ensure that the volunteer program is effectively organized, supported, and continuously evolving to expand and improve volunteer opportunities.
Strong communication skills are essential, as you will interact with a variety of individuals both within the organization and with external partners and stakeholders.
Core Duties
- Act as the initial point of contact for prospective volunteers, providing comprehensive information about available opportunities.
- Deliver exceptional customer service by responding to inquiries via phone and email, addressing direct questions from potential volunteers and external partners in a courteous and professional manner.
- Enhance the visibility of the Volunteer Program within the organization, ensuring that volunteer contributions are well-coordinated, supported, and that volunteers remain engaged and motivated.
- Distribute relevant information and application materials for volunteer roles promptly.
- Assist line managers in overseeing volunteers, monitoring placements, and tracking volunteer progress.
- Maintain and regularly update volunteer information resources and vacancy listings.
- Foster ongoing communication with volunteers through phone or in-person interactions, including site visits.
- Support the Apprenticeship and Career Engagement Manager in organizing events for volunteers, such as Volunteer Week and recruitment fairs.
- Proactively share information with volunteers as directed by the Apprenticeship and Career Engagement Manager.
- Keep accurate and current databases related to the volunteer service.
- Facilitate the recruitment process for volunteers, conducting interviews and coordinating suitable placements.
- Manage the volunteer email inbox, providing timely information on opportunities across the organization.
- Represent Nottingham CityCare at local forums and networking events to promote the organization and its volunteer offerings.
- Respond promptly to requests for assistance from colleagues, volunteers, and service users.
- Communicate and present information regarding volunteer performance indicators.
- Engage with a range of staff and external organizations, utilizing persuasive and motivational skills.
- Implement the volunteer strategy, adapting as necessary to meet service needs and ensure progress.
- Oversee volunteer uniform inventory and reorder supplies as needed.
- Update the volunteer database in collaboration with the Apprenticeship and Career Engagement Manager, ensuring all information is accurate and reflects current volunteer activities.
- Occasionally tackle complex and non-routine tasks.
- Foster a culture of teamwork and collaboration through a supportive approach.
- Develop and distribute a biannual newsletter for volunteers, keeping them informed about key updates, training, and organizational news.
- Establish connections with community and educational organizations to facilitate new volunteer placements and work experience opportunities.
- Collect and analyze feedback from service users and volunteers to drive improvements.
- Plan and prioritize your workload with guidance from the Apprenticeship and Career Engagement Manager.
- This role will primarily be based at the organization's headquarters but will involve travel to various locations to collaborate with staff and volunteers.
- Build relationships with other managers and coordinators across the organization.
- Ensure that all volunteers are properly inducted and trained for their roles, maintaining compliance with mandatory training requirements.
- Assist in developing volunteer and role profiles in collaboration with service managers to ensure high-quality and supportive placements.
