Key Responsibilities

The Continuing Healthcare Intake Specialist will deliver a high-caliber service for the North Central London Integrated Care Board (NCL ICB) to facilitate the efficient execution of the Continuing Healthcare (CHC) process and complex care. The individual in this role will serve as the primary contact for the Continuing Healthcare service, coordinating with referrers, appellants, and their representatives to ensure all referrals and requests are processed promptly and to a superior standard.

Responsibilities Include:

  • Acting as the initial point of contact for various departments, effectively communicating policies and demonstrating initiative in managing complex inquiries independently.
  • Organizing and prioritizing incoming correspondence, ensuring timely distribution.
  • Guaranteeing that urgent and/or confidential communications are promptly received and forwarded to the appropriate parties.
  • Ensuring decision letters are dispatched to clients, Next of Kin, and Providers within the stipulated National Framework timelines.
  • When necessary, drafting and structuring correspondence for signature.
  • Managing non-routine situations, inquiries, and demands across a range of procedures without supervision.
  • Coordinating and planning departmental meetings, providing relevant information to stakeholders.
  • Preparing agendas, taking minutes, and distributing meeting notes, including transcribing group discussions and interviews as required.
  • Overseeing the referral process from the receipt of new referrals through to the completion of the NHS Continuing Healthcare pathway, collaborating with CHC Clinical Assessors to gather and compile necessary information.
  • Working collaboratively with other administrators and nurse assessors within the complex care team to maintain effective communication, including accommodating visitors and covering general administrative duties as needed.
  • Proposing enhancements to project, service, and initiative work, contributing to policy discussions and making recommendations for improved delivery.
  • Performing administrative tasks such as photocopying, faxing, and mail distribution.
  • Collaborating with team members to collect information for performance reporting on relevant projects.
  • Developing and maintaining efficient electronic and paper filing systems to ensure secure and accessible information for team members.
  • Actively participating in the development of key performance indicators for effective performance assessment.
  • Engaging in tasks requiring focused attention for document verification, report writing, protocol development, and statistical analysis.
  • Ensuring robust data recording within the Caretrack database system, routinely auditing data quality to maintain consistent and high-quality information.

Candidate Profile

Education and Qualifications

Essential

  • NVQ Level 3 in a relevant field or equivalent qualification, or substantial proven experience.

Experience

Essential

  • Proven experience in public engagement and handling sensitive, confidential information.
  • Significant administrative or secretarial experience, including the establishment and maintenance of office systems.

Knowledge, Skills, and Abilities

Essential

  • Intermediate proficiency in IT systems and software applications such as Outlook, Word, Excel, PowerPoint, and Access.
  • Understanding of confidentiality and the Data Protection Act.
  • Ability to work independently, demonstrating initiative in organizing and prioritizing workloads under tight deadlines.
  • Commitment to equality of opportunity and fostering positive working relationships.

Desirable

  • Familiarity with NHS Continuing Healthcare.
  • Capability to compile comprehensive draft reports, data, and correspondence, along with strong negotiation and networking skills.
