Ritz Recruitment Limited is seeking a highly motivated and organized Operations Coordinator to join our shipping team. As an Operations Coordinator, you will play a crucial role in ensuring the efficient administration and operational matters of the sales process and operational environment.

Key Responsibilities
  • Operational Support: Provide timely and accurate support to the Shipping & Operations Manager in operational functions, ensuring targets are delivered and reporting is focused, accurate, and timely.
  • Customer and Supplier Liaison: Serve as the central point of contact for suppliers, customers, shipping lines, freight forwarders, surveyors, and internal stakeholders relating to the import and export of our products.
  • Shipment Management: Create, control, and manage shipments as planned, including support for negotiation processes and execution of best freight options.
  • Cost Recovery: Track and manage additional shipping costs (such as wasted journeys/demurrage), work with the trading team and finance to recover external liabilities.
  • Issue Resolution: Ensure timely resolution of issues arising from suppliers, customers, financial institutions, operations, and commercial.
  • Relationship Building: Build and manage relationships with internal and external stakeholders such as customers, suppliers, shipping lines, freight forwarders, and the internal administration team.
Administrative Functions
  • Shipment Bookings: Coordinate shipment bookings and confirmations.
  • Loading Documentation: Upload and review loading documentation and photographs to ensure compliance with terms and conditions of purchase.
  • Vendor Invoice Payments: Process vendor invoice payments.
  • VGM Processing: Manage VGM processing.
  • Shipping Documentation: Prepare shipping and bank documentation.
  • Material Inspection: Conduct material inspection procedures as required.
  • Customer Compliance: Ensure compliance with customer requirements (e.g. special requests, inspections, packing specification).
  • Export Permits: Apply for necessary export permits as regulated by government authorities.
Requirements
  • Experience: Minimum 3 years of relevant experience in a similar role in the shipping industry, particularly in freight forwarding.
  • Language: Competent in spoken and written English language.
Desirable
  • Industry Experience: Experience in Wastepaper and Plastic Recycling industry.
  • Software Skills: Competent in the use of MS Office Suite and SAP.
