We are seeking a highly motivated and organized Company Secretarial Trainee to join our team at Forvis Mazars. As a Company Secretarial Trainee, you will play a crucial role in supporting our clients with their company secretarial and governance needs.
Key Responsibilities- Provide company secretarial support to a portfolio of client companies, ensuring compliance with relevant laws and regulations.
- Construct correspondence to clients and other agencies, maintaining a professional and courteous tone.
- Learn how to use company secretarial software (Diligent Entities) to maintain clients' statutory registers electronically.
- Prepare annual confirmation statements and other statutory forms for Companies House from the information provided using Diligent Entities.
- Obtain knowledge of the Companies Act 2006 and matters such as persons of significant control.
- Draft board minutes and shareholder resolutions to make relevant changes to a company (with supervision).
- Incorporate UK companies and UK establishments of overseas entities on behalf of the firm's clients.
- Ensure that clients are afforded the best possible response, addressing their needs and concerns.
- Carry out any other administration tasks required by the management team.
- Open and close client matter codes using our in-house software.
- Learn our client onboarding process, including anti-money laundering requirements, setting up new clients on our internal systems, and preparing engagement letters.
- Ensure that correct records are kept and that client files are up to date.
- Assist your manager with monitoring financial performance of the team.
- Have knowledge of the service lines within Forvis Mazars to enable the promotion of the firm.
- Commitment to qualifying as a Chartered Secretary.
- Strong organizational skills and good communication skills, both written and verbal, with an excellent attention to detail.
- A reasonable level of awareness of client needs within a service environment.
- A basic understanding of company secretarial practices or business skills.
- An interest in corporate governance and company law.
- Ability to prioritize workload to ensure deadlines are met.
- Ability to work on one's own initiative and as part of a team.
- Knowledge of the maintenance of statutory records using Diligent Entities (desirable).
- Computer literacy, with understanding of Microsoft packages including Word and Excel.
- Commitment to self-development and learning.

- Flexible attitude to working with strong adaptability.
