Job Summary

Ryder Reid Legal is seeking a skilled Event Planning Specialist to join our team on a permanent basis. As an Event Planning Specialist, you will play a crucial role in planning and executing various internal and external meetings, conferences, and networking events.

Key Responsibilities
  • Event Intake and Coordination: Review event brief materials and documentation, ensuring adherence to global brand standards and timely execution.
  • Delegate Management: Set up event registration, compile weekly RSVP status reports, reconcile payments, and resolve client inquiries promptly.
  • Logistics and Event Execution: Plan and execute all event logistics, liaising with vendors for food & beverage, production, giveaways, etc., while adhering to timelines, brand standards, and budget constraints.
  • Event Deliverables: Coordinate the production of on-site event materials, such as name badges, tent cards, signage, CLE forms & surveys, menu cards, and place cards.
  • Administrative Tasks: Monitor and update the event calendar, maintain event budgets, process invoices, reconcile expenses, and assist with budget tracking and reporting.
  • Industry Knowledge and Venue Management: Stay up-to-date on industry topics and trends, maintain excellent venue knowledge through research and site visits.
  • Additional Tasks: Assist with other tasks as assigned.
Requirements
  • Minimum of two years' relevant meeting planning experience, preferably at a law firm or other professional services firm.
