About the Role:

We are seeking a proactive and detail-oriented Administrator to join our dynamic team within Hales Group Limited, a well-established company specialising in Mechanical and Electrical (M&E) Engineering.

This role is crucial in supporting the operations of a busy helpdesk, ensuring the smooth allocation and processing of work orders for a team of skilled engineers.

Key Responsibilities:

  • Administrative Support: Perform general administrative duties, including preparing and managing documents, maintaining accurate files, and handling correspondence.
  • Helpdesk Operations: Manage incoming work orders, providing prompt and professional responses to ensure efficient use of resources.
  • Work Order Allocation: Allocate work orders to engineers based in the South-East region, ensuring compliance with contractual Service Level Agreements (SLAs).
  • Job Progress Monitoring: Monitor job progress and dashboard data to ensure accurate reporting and compliance with contractual requirements.
  • Document Management: Process completed jobsheets, forward reports to clients, and upload documents to customer portals.
  • Site Access and Permits: Arrange site access and obtain necessary permits for work in shopping centers, landlord-managed buildings, and other locations.
  • Team Collaboration: Collaborate with team members to ensure all administrative tasks are completed accurately and on time.

Candidate Requirements:

  • Helpdesk Experience: Proven experience in a helpdesk, customer service, or call centre environment is highly preferred.
  • Organisational Skills: Strong organisational skills with keen attention to detail.
  • Time Management: Ability to work effectively in a fast-paced, pressured environment.
  • Self-Motivation: Self-motivated, with the ability to manage tasks independently and as part of a team.
  • Communication Skills: Excellent written and verbal communication skills.
  • Problem-Solving: Proactive problem solver with the ability to make sound decisions.
  • Technical Skills: Accurate data entry skills and familiarity with office software (e.g., Microsoft Office Suite).
