Patent Legal Assistant Job Description

The London office of Finnegan, Henderson, Farabow, Garrett & Dunner, LLP, a leading intellectual property law firm, is seeking a skilled Patent Legal Assistant to join their team.

Key Responsibilities:
  • Prepare and complete patent office filings, utilizing knowledge of patent filing requirements and regulations.
  • Conduct research to determine requirements for filings when needed, ensuring accuracy and completeness.
  • Liaise with clients and patent office personnel, following up with attorneys and taking appropriate action as necessary.
  • Act as a liaison between attorneys, clients, staff, and patent offices to coordinate European and foreign patent filings.
  • Respond effectively to communications from clients, foreign counsel, attorneys, and patent office personnel.
  • Utilize patent office electronic filing resources and websites effectively, ensuring timely and accurate submissions.
  • Demonstrate ability to perform research related to patent applications and filings, providing valuable insights to the team.
  • Maintain accurate case data to review and clear docket daily, ensuring correctness of entries and completeness of information.
  • Accurately and effectively perform varied administrative tasks, as needed, to support the team's efforts.
  • Process client-billable and firm invoices as relevant, ensuring timely and accurate payments.
  • Utilize knowledge of clients' needs to input data and generate reports for clients and attorneys as requested.
  • Utilize knowledge of firm docket system to review docket communications and provide updates daily to keep attorneys and others apprised of and prepared for deadlines.
  • Maintain familiarity with attorney workloads, schedule, and projects to effectively manage, organize, and prioritize tasks.
  • Interact effectively with US-based departments as required to support them, the firm, and attorneys.
  • Process incoming correspondence in a timely manner, ensuring prompt responses to clients and stakeholders.
  • Maintain client files (both electronic and paper) to a high standard, ensuring confidentiality and accuracy.
  • Draft correspondence and other documents to clients and other parties, as needed, to provide clear and concise communication.
  • Assist in defining and implementing office workflows, participate in Firm and office pilot projects, as relevant, to drive process improvements.
  • Refer issues to Office Administrator as necessary, ensuring seamless support and escalation.
