Role Overview

We are seeking a detail-oriented and proactive individual to join our team as a Purchasing/Operations Administrator. In this role, you will be responsible for efficiently managing purchasing operations and ensuring smooth order processing.

Your primary focus will be on tracking and analysing delivery times and accuracy, liaising with logistics providers, addressing customer complaints, and maintaining accurate stock records.

Key Responsibilities
  • Delivery Time and Accuracy Analysis

Track and analyse delivery times and accuracy to identify areas for improvement and ensure timely delivery of orders.

Order Processing

Upload retail orders into the system, ensuring accuracy and completeness of information.

Logistics Coordination

Communicate with logistics providers to resolve issues related to delayed deliveries or packaging problems.

Customer Service

Process pack-up requests from customers, ensuring prompt and accurate fulfilment.

Order Verification

Monitor orders in the Shopify platform, verifying the correctness of the information and addressing any discrepancies.

Customer Complaint Resolution

Address customer complaints promptly and professionally, providing appropriate solutions and ensuring customer satisfaction.

International Shipping

Track shipments from international locations like China or India, ensuring timely and accurate delivery of samples and other items.

Return and Faulty Reporting

Handle returns and faulty reporting, coordinating with relevant departments to facilitate smooth resolution and maintain accurate records.

Inventory Management

Regularly update and share stock reports, ensuring accurate and up-to-date information for effective inventory management.

Sales Reporting

Update and share retail sales reports, providing insights into sales performance and trends.

Stockkeeping

Perform stockkeeping at the office, ensuring organisation and accuracy in inventory management.

Store Maintenance

Maintain cleanliness and order in retail stores, ensuring a pleasant shopping experience for customers.

Influencer Operations

Assist in influencer operations, coordinating influencer orders and managing promotional activities as required.

Stock Accuracy

Ensure stock accuracy through regular physical counts and quarterly audits, identifying discrepancies and implementing corrective measures.

Freight Monitoring

Monitor freight shipments, ensuring deliveries are on time and coordinating with logistics partners to resolve any issues that may arise.

Purchasing Support

Support the purchasing function as needed, ensuring purchase orders, delivery notes / GRN and supplier invoices match up, and chasing in missing documents as needed and clearly highlighting any discrepancies.

Requirements
