Job Summary

We are seeking a highly motivated and organized Medical Receptionist to join our friendly and forward-thinking team. The successful candidate will be responsible for providing exceptional patient care, managing appointments, and maintaining accurate medical records.

Main Responsibilities
  • Ensure awareness of staff rotas, including doctors and nurses, and communicate effectively with the team.
  • Stay up-to-date with changes by examining tasks and notifications, and implement necessary adjustments.
  • Optimize the appointment system, monitoring the flow of patients into consulting rooms and treatment rooms, and ensuring a smooth patient experience.
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, providing clear and concise information.
  • Advise patients of relevant charges for private services, accept payment, and issue receipts as necessary.
  • Respond to all queries and requests for assistance from patients and other visitors, providing prompt and courteous service.
  • Enter requests for home visits onto the visit screen according to practice procedures, ensuring accurate and timely processing.
  • Assist with processing repeat prescription requests when required, maintaining accurate records and ensuring timely completion.
  • Check all sample bottles contain patient names and envelopes are sealed, maintaining high standards of patient confidentiality.
  • Action requests for ambulance transportation, ensuring prompt and efficient service.
  • Maintain the reception and waiting areas, ensuring they are kept neat and tidy, and providing a welcoming environment for patients.
Management of Appointment System
  • Demonstrate total familiarity with the appointment system, ensuring seamless operation and efficient use of resources.
  • Offer the next available appointment with the preferred Doctor or the next available appointment, providing flexibility and convenience for patients.
  • Monitor the effectiveness of the system, reporting any problems or issues, and implementing necessary adjustments.
  • Make routine appointments with doctors, nurses, and clinicians, ensuring accurate and timely scheduling.
  • Be aware of the various range of services the practice provides, and have the ability to make the appropriate appointment, ensuring patients receive the necessary care.
  • Cancelling appointments, checking patients in on arrival at the surgery, and ensuring the doctors/nurses are aware of patients with special needs.
  • Direct patients to the appropriate healthcare professional for telephone triage, and log the patients' request onto the computer appointment system, recording information as per practice protocol.
Dealing with Requests for Home Visits
  • Accurately record requests for home visits onto the computer system as per practice policy, ensuring timely and accurate processing.
  • Extract patients' notes from the filing system with a home visit computer print out, maintaining accurate and up-to-date records.
  • Bring any emergencies to the attention of the doctor as per practice protocol, ensuring prompt and efficient response.
  • In the event of a request for a late visit, be aware of the doctor on call and notify appropriately, ensuring seamless communication and coordination.
Message Taking and Liaison
  • Liaise with secondary care services and the CCG to take messages and pass them on to the relevant person concerned as per practice protocol, ensuring effective communication and coordination.
  • Receive and respond to routine and non-routine requests for assistance from patients, carers, and others, providing prompt and courteous service.
  • Advise patients of relevant charges for private services, accept payment, and issue receipts for the same, ensuring accurate and timely processing.
Repeat Prescriptions
  • Understand the repeat prescription system in order to resolve any queries, ensuring accurate and timely processing.
  • Prepare repeat prescriptions for signing by the doctor, maintaining accurate and up-to-date records.
  • Check for correct name and address and doctor signature before handing to patient, ensuring high standards of patient confidentiality.
Management of Medical Records
  • Ensure that the tracer card is dated and noted when a file is retrieved, maintaining accurate and up-to-date records.
  • Ensure that records are available for doctors in instances of an urgent consultation, ensuring seamless access and coordination.
  • Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to, and maintaining accurate and up-to-date records.
  • Ensure correspondence, reports, results, etc. are passed to the appropriate doctor or prepared for scanning, maintaining accurate and up-to-date records.
Administrative Duties
  • Open and distribute incoming mail, ensuring timely and accurate processing.
  • Questionnaires and forms that require completion should be placed in the appropriate doctor's box, ensuring accurate and timely processing.
  • Other clinical correspondence should be placed in the clinician not seen tray for scanning, ensuring accurate and timely processing.
  • Know how to use the practice systems to receive and transmit information electronically, including email and text messages, ensuring seamless communication and coordination.
  • Responsible for ensuring appropriate claims are passed to the appropriate person, ensuring accurate and timely processing.
  • Photocopying as required, maintaining accurate and up-to-date records.
Computer System
  • Know how the practice computer is used on a day-to-day basis by receptionists to input, locate, and retrieve data, including:
    • Retrieve patient details by name, DOB, address, or NHS number, ensuring accurate and timely access.
    • Being able to change patient registration details, ensuring accurate and up-to-date records.
    • Recording of contacts with patient either by telephone or letter as per practice protocol, ensuring accurate and timely processing.
    • Recording of ambulance requests, ensuring accurate and timely processing.
    • Be familiar with and understand the relevant elements of the computer clinical systems, e.g. reminders, summary screen, clinical notes, repeat prescriptions, and test results, ensuring accurate and timely access.
Special Duties
  • Act as a chaperone when required, ensuring patient comfort and dignity.
  • Any other delegated duties considered appropriate to the post, ensuring seamless coordination and communication.
