ROLE SUMMARY
The Team
The Claims Administration team offers a comprehensive managed claims service, focusing on professional indemnity schemes for prominent insurers. This team plays a crucial role in delivering value to the broader RPC law firm through referrals and is integral to the firm's insurance operations and strategic direction.
The objective is to enhance the team and proactively broaden the scope of fixed fee services related to claims administration and defendant professional indemnity work, by securing new business opportunities and contracts, while also reinforcing and enhancing relationships with current clients.
The Role
As a Claims Administration Specialist, you will collaborate with the Claims Administration Manager, Team Leaders, and fellow team members to ensure a technically proficient and efficient service delivery. Together, you will be tasked with shaping the future of the team, embedding principles of streamlined and effective operations, and establishing the culture, values, and behaviors that contribute to a rewarding and diverse legal career.
The team operates from RPC's office. Occasional travel to other locations may be necessary. Administrators within the team will report to the Claims Administration Manager.
Key Responsibilities
Provide extensive administrative support to the Claims department. Understand and adhere to the department's Service Level Agreements (SLAs) and Key Performance Indicators (KPIs). Proactively manage files and ensure compliance with external client SLAs. Deliver exceptional customer service consistently, contributing to a leading claims function. Perform various administrative tasks, including but not limited to:Initiating new matters and entering data into the claims management system
Sending acknowledgments
Conducting conflict searches
Assisting with calendar management
Providing management information (reports)
Completing all basic administrative tasks accurately and promptly, such as filing, scanning, making/receiving calls, and handling inquiries.
Manage financial matters, including arranging and processing payments, addressing billing and account queries, and updating financial records. Ensure the integrity of management information. Communicate with insurers and brokers to obtain comprehensive policy information. Ensure that policies, proposal forms, and schedules are accurately completed. Assist in creating and maintaining a claims handling guide for each scheme. Support the development and maintenance of an effective reporting system for departmental use across all schemes. Manage centralized mailboxes. Oversee file closures. Ensure timely provision of claims documentation to brokers and insured parties. Undertake other ad hoc duties as required.Knowledge, Skills, and Experience
Minimum educational qualifications of GCSE level or equivalent, with at least a C grade in Mathematics and English. Proven success in a similar role. Excellent verbal and written communication skills, with a strong understanding of customer service excellence. Ability to plan and organize effectively. Demonstrated experience in relationship management (both internal and external). Capability to work independently and collaboratively within a team. Adaptability to changing priorities and the ability to adjust plans accordingly, consistently delivering high-quality work under tight deadlines. Proficient in IT, with experience in developing and maintaining databases.#RPC
