Administrative Officer

We are seeking an experienced and enthusiastic individual to join our Therapies Team at Westmorland General Hospital as an Administrator Officer.
Job SummaryThe successful candidate will be responsible for providing administrative support to the Therapy Services, including managing clinic appointments, ordering and issuing orthotics, and maintaining departmental records.
Key Responsibilities- Manage clinic appointments, including initial and review appointments, for the Orthotic service.
- Communicate with the Orthotist regarding waiting list management.
- Provide administrative support to the Therapy Services as required.
- Maintain departmental records using relevant information systems or paper-based systems.
- Provide compliance reports as requested by Therapy Service Manager / Team Manager.
- Provide administrative support for service meetings, including agenda preparation and minute taking.
- Deal with all correspondence relating to Orthotics and Administrative functions within the service.
- Maintain administrative and orthotics supplies.
- Receive goods and make arrangements for returns.
- Issue Declaration of Exemption from Prescription Charges forms to those patients who are exempt.
- Check goods received from Orthotics Service provider and that completed Orthotic forms conform to the goods prescribed.
- Report delivery delays or any other problems to the Therapy Service Manager.
- Check Orthotics returned for repair or replacement.
- Supply and advise on the fit of simple appliance items from stock.
- Provide a communication link between referrers, prescribers, suppliers, and patients.
- Deal with telephone queries from patients/relatives/referrers.
- Maintain office & department supplies, ordering stock and non-stock catalogue items.
- Basic numeracy and literacy (e.g. GCSE level at grade C and above)
- Willingness to learn procedures, techniques, and demonstration of equipment relevant to Orthotics
- Typing word processing at RSA level 3 or above
- Experience working in an office
- Experience / Knowledge of Microsoft Office packages including Word, Excel
- Previous work experience in clerical and admin duties within health / social care settings.
- Experience of work with the general public
The successful candidate will work in a fast-paced environment, providing administrative support to the Therapy Services. The role will involve working independently and as part of a team, with a focus on delivering high-quality administrative support to the service.
